Project Overview

Online Quoter was a B2B web platform designed for Proquifa, a Mexican distributor of chemical and biological reference materials for laboratories and industrial use.

The project focused on transforming a manual quotation process into a self-service digital experience where verified clients could browse products, generate quotations, manage orders, and monitor purchasing activity in one centralized platform.

As Product Designer and Lead Designer during the MVP phase, I led the design process across UX strategy, interface design, prototyping, and developer collaboration while coordinating a small design team in a fast-paced environment.

The Challenge

The project involved translating a traditionally human-assisted sales process into a scalable digital workflow for a highly specialized industry.

Unlike conventional e-commerce platforms, Online Quoter needed to support products with technical purchasing restrictions, seasonal availability, quantity limitations, and regulatory requirements. Many products also lacked commercial photography or recognizable packaging, making traditional visual merchandising approaches ineffective.

Another layer of complexity came from the platform’s dependency on an external product management system managed by the client. Accessing product data and synchronization updates could sometimes delay iterations during development.

Additionally, the project evolved rapidly throughout production, requiring continuous prioritization and adaptation across teams while maintaining consistency across the user experience.

Strategy and Discovery

The discovery phase functioned as a rapid design process focused on validating the product direction and helping stakeholders visualize the platform before full development began.

Instead of traditional long-form discovery, the team worked through fast-paced design iterations that explored realistic product flows, interface concepts, and early system structures. These explorations helped define the foundation of the platform while supporting internal stakeholder alignment around the project’s long-term potential.

This work established the initial design foundations later used throughout the MVP phase.

Design Solutions

The final solution was a web-based B2B quoting platform that allowed verified clients to independently manage quotations and orders through a centralized dashboard experience.

Core platform capabilities included:

  • Product exploration and search
  • Quotation generation
  • Cart and order conversion workflows
  • Order tracking and status visibility
  • Quotation history
  • Create a purchase order based on one or more quotes
  • Order tracking

One of the most important UX challenges involved product discoverability. Since many laboratory materials lacked usable product imagery, I designed a modular iconography system that visually identified product categories, presentation formats, and handling types. This allowed users to quickly scan product listings without relying on traditional e-commerce visuals.

Icon system

Another major design challenge centered around communicating purchasing restrictions without overwhelming the interface. Certain products required minimum quantities, seasonal purchasing windows, or regulatory permissions.

To solve this, I designed a scalable badge and labeling system that differentiated restriction types through visual hierarchy, contrast, and semantic grouping. The goal was to make critical purchasing conditions immediately recognizable while preserving readability inside dense product tables and listings.

The platform’s quotation history and order tracking modules were also prioritized to reduce uncertainty during the purchasing process, giving users greater autonomy and minimizing repetitive follow-ups with sales representatives.

Visual Identity

Although Proquifa already had an established corporate brand, the product required a dedicated interface language optimized for enterprise software and data-heavy workflows.

Results

Online Quoter transformed a traditionally manual quotation process into a more accessible and efficient digital experience for verified Proquifa clients.

The platform reduced friction between customers and commercial advisors by allowing users to independently generate quotations, manage orders, and track purchasing activity through a centralized system.

Despite tight deadlines, technical dependencies, and constantly shifting stakeholder priorities, the MVP established a solid foundation for future product growth while introducing reusable interface patterns and a scalable UI system. The system included:

  • Color usage guidelines for software environments
  • Primitive UI elements
  • Navigation patterns
  • Data input components
  • Enterprise tables
  • E-commerce product cards
  • Quotation management components
  • Status indicators and badges
  • Reusable interaction patterns

This foundation accelerated collaboration between design and development teams while improving consistency across rapidly evolving product requirements.
